Picture a 60-room hotel in Bled, staffed by fifty in summer and twenty off-season. Booking enquiries pile into one address that only works on the reception PC, the sales lead replies to tour operators from a personal Gmail, and each new seasonal hire is handed a predecessor's password on a sticky note. The conference room is reserved in a paper diary. Last year guests even received a fake booking confirmation that looked like the hotel's own but asked them to pay into a different IBAN. Plenty of small companies drift into the same state, simply because email grew without a plan. Done properly, everyone gets a personal address on the company domain, teams share structured inboxes, and calendars, rooms and pool cars are managed in one place. Your domain is protected, so nobody else can send in your name. When someone leaves, their mail stays with you.
Before publishing SPF, DKIM and DMARC we trace every system sending as your domain, from the invoicing tool and newsletter service to web forms, the reservation engine, ERP mailers and the office copier. Miss one and genuine mail ends up in junk folders.
Shared inboxes
info@, bookings@, orders@ and similar, worked by several people with one shared history and a visible trail of who replied. No more passing passwords around.
Calendars and resources
Team diaries, free-busy visible while inviting, Teams or Google Meet links, and bookable items such as the meeting room, a pool car or a spare notebook.
Old mail brought over
From your web host, Gmail or an on-premises mail server, every message moves with its folders and attachments while new mail keeps flowing.
Retention
Rules that hold on to messages even after someone empties the bin, useful for complaints, disputes and mail that serves as evidence. It is not a substitute for a formal document archive, but it protects everyday correspondence.
Managed phones
Mail and calendar on company or personal handsets enrolled in Intune, with screen lock, encryption and a remote wipe of business data only if a phone is lost.
Hires and departures
Accounts in Entra ID or the Google directory, enforced second factor and a fixed starter and leaver checklist that copes with a high seasonal turnover.
How the work runs
For ten to thirty people, the switch generally completes in one to two weeks and nothing goes missing.
01
Stocktake
Who uses which address, aliases and extra domains, where old mail sits and how much there is, and any retention rules specific to your sector.
02
Preparation
Platform, accounts, groups, team inboxes, retention and MFA configured; DNS edits drafted but not yet published.
03
Switch day
History copies in the background and MX changes in the late afternoon; a final sync next morning fetches anything that still went to the old host.
04
Getting people going
Outlook and phones configured remotely, a half-hour video tour and a two-page cheat sheet.
No DMARC, open door for fake invoices. Without it, anybody can send mail that appears to come from your accounts or reception, complete with a believable invoice and new bank details. We roll DMARC out in stages: report-only, then quarantine for doubtful mail, finally reject. Spoofing stops, and your genuine newsletters and booking confirmations keep arriving.
Your questions answered
Teams that rely on Excel, Teams or Business Central tend to fit Microsoft 365. Companies working almost entirely in a browser who value simplicity often prefer Google Workspace. We support both and check with you what your subscription offers on data location.
Yes. It stays with your registrar and we only adjust DNS. If a former agency still controls it, we help you take it back and register it to your company.
Microsoft sells frontline licences for people who mostly use a phone or a shared device, which may suit reception, housekeeping or waiting staff. We check against what each role really needs. Shared inboxes such as info@ normally need no licence while they stay under the vendor's storage cap.
On the last day the login is switched off and the mailbox becomes shared, ready for a successor. To stay in line with GDPR and ZDR-1, this has to be written beforehand into an email policy that employees know about; let your lawyer check the wording.
Yes. New accounts, leavers, delivery issues, security reviews and licence changes are handled at €50 per hour plus VAT or inside Start, Business or Premium, Monday to Friday, 9:00-17:00 Central European Time.
