Logistics and transport

A trailer sits at bay four, shrink-wrapped pallets loaded, engine idling, but the paperwork that should travel with it was never produced, so it cannot leave. Another day, at 15:20, the thermal printer jams mid-run with the parcel carrier's last van due in forty minutes. In this business a fault costs you missed slots, penalty clauses and impatient customers wanting to know where their delivery has got to; the length of the outage is almost beside the point. Apply stitches your existing applications into a single flow of data and keeps watch over it remotely, so a hiccup gets flagged on our side well ahead of anyone at the dock.

Scope of the solution

Information tends to fall through the cracks at five points between desk, racking and cab. Mobile computers, thermal printers and aisle Wi-Fi access points are physically fitted by your people or the hardware vendor. Apply provisions them over the network and makes them play nicely with your software.

One entry, many systems

Sales orders keyed into Pantheon, Business Central or SAP Business One drop into the WMS with no retyping at all. When pickers finish, the status and consignment number flow back into the ERP. Route planning in the TMS works from actual weights and pallet spaces rather than last night's spreadsheet export, which also ends the guesswork over how much air each vehicle carries on the way back.

Carriers side by side

Pošta Slovenije, GLS, DPD and Express One at home, DHL Express or UPS for anything heading abroad. Connected via each carrier's API or a multi-carrier platform: the label prints at the packing station, a collection is booked, the consignee is sent a link to follow the parcel and a return label sits ready. Carrier selection follows rules you define, such as parcel weight, destination, locker delivery or promised date.

Paperwork, customs and billing

Waybills, e-CMR and dispatch notes are generated from the transport order rather than copied out. EDI messages to big retail chains run without manual nudging. For export and transit consignments, for instance containers discharged at the Port of Koper and trucked on into Central Europe, your customs broker gets the NCTS data and whatever else FURS procedures require from that same record, complete. Invoices then leave automatically through the e-invoice exchange provider of your choice.

Vehicles, telematics and crews

GPS positions and trip histories from your telematics provider, along with tachograph and driver card downloads, belong in protected cloud storage with copies and named permissions; the transport planner's desktop is no place for them. Drivers' handsets and tablets are enrolled centrally, through Intune where your Microsoft 365 subscription allows. Proof-of-delivery photos, signatures and pallet pictures are taken on those handsets, and one forgotten at a motorway services is erased remotely.

Connectivity, hosts and protection

Depot networking, hosts and interfaces are under permanent observation, with WMS data copied on a fixed schedule. When roadworks on the logistics park slice through the fibre, a 4G or 5G line steps in on its own. A haulage firm locked by ransomware can be grounded for days, so endpoint detection goes onto every machine and two-step login onto every user.

Moving to the new set-up

No depot can shut for a week while an interface is replaced. We build the new arrangement next to the current one and flip over on a calm day.

01

Tracing an order

Over video we walk one order from creation to the recipient's signature and flag every point at which somebody re-enters data.

02

Sandbox

Interfaces are developed using carrier sandbox accounts and a cloned copy of your data. Practice labels never send a van to a real address, and dummy documents never touch production.

03

Switch-on

Go-live is timed away from dispatch rushes, in a slot fixed in advance. For the opening days, your depot lead deals one-to-one with whoever built the integration.

04

Monitoring and tuning

Should a message jam in the queue, our alerting catches it, so you hear of it before any customer complains. Every three months we choose one more manual chore to automate.

Silent failures do the most damage. An interface that stops forwarding orders to the warehouse throws no error message. The gap only appears when a customer chases goods that were never picked. Consider a distribution warehouse behind Koper processing roughly 500 orders daily. Checking that the server responds is not enough for us; we verify that orders really pass every checkpoint. If hourly volume dips beneath its usual pattern, the alarm sounds and diagnosis starts on the spot.

Frequently asked questions

Seldom. The pain usually comes from its isolation from everything else, not the software as such. Given an API, a database we can query safely or a file exchange, we connect it with your ERP, the carriers and document exchange. A replacement becomes worth discussing only when the vendor has stopped issuing security patches and keeping it alive is itself a hazard.

Your own staff, often the shift or dock supervisor, or the hardware reseller handle the physical connection. Ahead of time we build the configuration, enrol the units in our device platform, push printer drivers and label designs, and stay on a video call when they are first switched on. We never turn up at the depot, yet nobody is left puzzling over a screen alone.

Vehicle unit and driver card data must be downloaded at set intervals, retained and shown to inspectors on request. A lawyer or your trade body can confirm the precise periods; we put the storage in place. Typically a single PC folder makes way for cloud storage with versioning, an independent backup and tight access rights, and your driving-hours analysis tool uses that storage too. Because location records identify individual drivers, GDPR requires that they be properly informed.

Not in the least. Because Apply works remotely in every case, mileage is irrelevant. Each depot shows on one shared dashboard and raises tickets through one channel. Nominate a contact per site; in the occasional case where something physical needs doing, that person acts as our local pair of hands.

It will if you plan for it. We look at message volumes during last year's busiest weeks, scale the server to match, pause non-essential changes for the season and agree support arrangements for the dates you flag as critical. Suppose your warehouse ships for a Celje webshop selling children's goods whose parcel count trebles before Christmas: its load tests would happen in September.

Apply handles the technical groundwork: connecting your ERP to the eSLOG 2.0 e-invoice exchange provider you picked and tidying customer records, so documents are not rejected for a missing VAT number or a bad address. We are not an exchange provider ourselves. Your accountant can tell you which obligations apply and when they begin.
