VoIP and Teams Phone

Suppose you run a law firm in Nova Gorica with eight people. The lawyers are often in court or with clients, there is just one assistant, and during her lunch break the phone simply rings out. The old PBX in the cabinet is tied to desk phones, and diverting to a mobile only works for every call at once. With a cloud phone system or Teams Phone, a call to the firm's number rings at the front desk first, after twenty seconds on the duty lawyer's mobile app, and outside office hours the caller hears a message explaining what to do next. A lawyer can ring a client from a laptop using the firm's number without revealing a private one. We plan and configure the move remotely: choosing the platform, preparing the porting request, designing call routing, setting rules for recording and onboarding the team. Apply is not a telecoms operator and does not sell numbers or lines. Your numbers remain yours, you sign for them with an operator of your choice, and we make sure the phone system, apps and handsets work together. You buy the handsets yourselves from our list; we do not mount or cable anything.

Scope of the service

We begin with who needs to be reachable and when, not with picking handsets.

Choosing the platform

If your team already uses Microsoft 365, Teams Phone is often the most sensible option, linked to an operator's SIP trunk through Direct Routing or, if your operator offers it, Operator Connect. For smaller teams without Microsoft 365, an operator's standalone cloud PBX with its own app tends to be simpler.

Number porting

Geographic numbers, 080 or 090 numbers and business mobile numbers are ported by the losing and gaining operators under rules supervised by AKOS. We prepare the request details, check them against your latest bill and schedule the port for a quieter period.

Call plan

Who answers first, where a call goes if nobody picks up, what callers hear outside office hours and on public holidays, when voicemail kicks in and where messages are delivered.

Working from anywhere

Calls from a laptop or mobile app showing the company number, transfers between colleagues and presence status, so the front desk can see who is available.

Recording: when and when not

Recording is switched on only for lines where you have a clear purpose and legal basis, with an announcement at the start and a set retention period. For confidential client conversations the decision is often to record nothing. You make the call together with your data protection officer or legal adviser.

Handsets and headsets

We draw up a list of compatible models, you buy them from your own supplier and we configure them remotely. For many people a good headset and the app are enough, with a desk phone kept only at reception.

CRM link

If you wish, an incoming call can open the customer record in HubSpot, Pipedrive or Salesforce, and outgoing calls are logged against the customer.

How the work runs

For a team of 10 to 30 people the switch generally takes a few weeks, most of it spent on porting between operators.

01

Numbers and contracts

We gather all numbers, contracts and bills and note where each call goes today. A line nobody uses any more often turns up at this stage.

02

Operator and platform

We compare operator offers for your situation and settle the platform and call plan with you.

03

Trial with a few users

Several colleagues use the new platform on a temporary number while we fine-tune routing and devices.

04

Port and first week

The operators complete the port, we test every call route, run a short onboarding session and fix issues as they come up during the first week.

A port is a window, not a single moment. On porting day some calls may still reach the old PBX for a while, others already the new system. So the old equipment stays connected that day, and the old contract is not cancelled until the operator confirms the port is complete. We agree in advance who keeps an eye on both systems, and afterwards we test each number individually from an outside phone.

Your questions answered

No. Apply is not an operator and neither sells nor assigns numbers. You sign for numbers and SIP lines directly with an operator, and we help you choose an offer, prepare the porting request and configure everything.

The cloud system carries on, and calls are diverted to mobiles under the agreed rules until the connection is back.

Most often because the request does not match the record held by the current operator: an abbreviated company name, an outdated address or a line registered to another legal entity. That is why we check the details against your latest bill before submission.

They must. We confirm that the correct address is registered for every line and that 112 and 113 are routed according to the operator's rules. For alarm units and lifts that rely on a phone line, agree the connection type separately with whoever maintains them.

If they are IP phones with SIP support, often yes. Analogue phones cannot be used without an extra adapter. Once we have listed your models, we will tell you what can stay.
