Online payments

Consider a Kranj coffee roaster offering beans plus a monthly subscription box. Individuals like cards, Apple Pay or Flik. Offices would rather settle a pro forma by bank transfer. A loyal older clientele still wants to pay the courier. Showing those options at checkout is trivial; the edge cases are not. Someone confirms 3-D Secure inside their banking app, shuts the tab, and the order hangs as unpaid. A firm transfers money quoting “coffee” rather than the reference. A split bag means refunding part of an order. A subscription lapses because the stored card expired. And every Monday one combined payout lands with no clue which sales and fees make it up. This service makes each method behave correctly from checkout to bookkeeping, failures included. Configuration, support with provider onboarding and testing all happen remotely.

Scope of the service

Fee tables are only part of it. Customer expectations, days to settlement, refund mechanics and reports your bookkeeper can actually use matter as much.

Global or regional processor

Stripe and PayPal go live fast and cope with multiple currencies and recurring billing. Bankart and Monri work closely with banks across the region and may quote better rates as volume grows. Many shops mix them: one processor for cards, PayPal on top for foreign buyers.

Cards and 3-D Secure

Card numbers never touch your hosting; the provider hosts the payment fields. PCI burden and storage risk therefore sit with them, and you keep only the result. Apple Pay and Google Pay come through that same provider.

Flik

Slovenian shoppers know Flik as a way to pay from their mobile bank. We wire it up so an order confirms as soon as the provider signals success, with no wait for statements.

Pro forma with UPN QR

Pro forma invoices include a UPN QR code and an SI00 reference built from the order number. Statements or the bank's transaction feed are read on a schedule and transfers matched by reference. Short or excess payments raise an alert.

Pay on delivery

COD is set up alongside the courier's collection service. Remittances are allocated to orders, and parcels refused or not collected are listed apart.

Webhooks and edge cases

The processor notifies your server directly, so orders update even when buyers never come back to the site. Hanging payments are polled periodically, and staff are told about partial refunds and chargebacks.

Handing over to accounts

Each settlement is itemised into sales, refunds and commission and passed to Minimax, Pantheon or Metakocka, removing the need to tick off statements manually.

How the work runs

Processors vet a shop before approval and that is rarely instant, so onboarding starts in week one with development in parallel.

01

Choosing the mix

From last year's figures we project usage per method, transaction costs and settlement timing.

02

Onboarding and compliance check

We assist with the application and confirm the site displays terms of sale, withdrawal information, a GDPR privacy notice and contact details. Wording of those legal texts belongs with your lawyer.

03

Checkout and webhooks

Methods, webhook handling, polling of hanging payments, refunds from the order screen and export to accounts.

04

Real-money sign-off

Per method: one live purchase, one partial refund, one full refund. Launch waits until shop and ledger both show all three correctly.

Plan for expiring cards on subscriptions. A card valid at sign-up may be dead twelve months on. Silent renewal failures mean either shipping for free or cutting customers off without notice. Set the number of retries, the point at which a card-update email goes out, and when deliveries pause. Stripe and similar providers can do all of this, but only once you define the rules.

Your questions answered

Stripe is quick to launch and adaptable, notably for recurring billing and overseas customers. A local processor can undercut it on large domestic volumes and integrates more tightly with your bank. We run the comparison on your actual sales history rather than headline rates.

Usually. A segment of shoppers, first-timers especially, simply will not buy without it. It does, however, raise the rate of refused parcels and returns. After checking your figures we may cap COD by basket value or offer it only to repeat customers.

Funds are pulled back by the bank, which then wants evidence. Our set-up alerts staff immediately and gathers the order, tracking ID and delivery confirmation together, so the deadline is met.

Certainly. Bank transfer might be reserved for verified trade accounts, COD capped at a set value, PayPal shown only for shipments abroad. Rules live in the shop configuration; the effort is estimated beforehand at €50 per hour plus VAT.
